Grassroots Global Justice Alliance (GGJ) is an alliance of over 65 member organizations. GGJ is organizing to build an agenda for power for working and poor people and communities of color. Hiring Timeline:

Position Summary: This position will support and extend the capacity of the Executive Director (ED) by helping track priorities and manage individual communications, email, schedule, travel, expenses; will manage logistics and schedule coordination for staff and organizational activities; and will coordinate the logistics of organizational advances.  This position will report to the Finance and Operations Director  This is a full-time, exempt position.  This position is a cost-shared position with GGJ Action Fund (GGJAF), GGJ’s sibling 501c4 organization.  This is a remote position with travel required 5-10 days quarterly in the U.S.

Flexible Location, Remote work, U.S. based. 

Compensation: $63,800-$76,975, commensurate with experience, skill and need. Salaries are determined using a values-based salary calculator that factors an employee's need, experience and responsibilities including traditionally invisibilized labor.  This is a full-time exempt position with evaluation after a 3-month introductory period.

Job Responsibilities

Executive Assistant to Executive Director (65%)

  • Develop Executive Director’s workplan and backwards planning with Executive Director
  • Manage weekly work priorities, time and deadlines for Executive Director
  • Ensure timely signing, draft and or edit of documents and meetings for Executive Director
  • Strong followup with Directors, other staff, members and allies to meet deadlines that impact Executive Director (ED)
  • Manage email (sorting, flagging, prioritizing, responding); Respond to emails as directed.  Communicate clearly and accurately on behalf of ED.
  • Manage scheduling: Online calendar management of daily, weekly, monthly schedule.
  • Support administrative management of ED, i.e. file receipts, process reimbursements, support with finance document signature and filing documents.
  • Book travel logistics for ED (transportation, lodging, etc.)
  • Support communication and accountability between ED and staff

Organizational Coordination (25%)

  • Coordinate logistics for Staff Advances, Directors’ Advance, and Coordinating Committee meetings; virtual and in person, including Language Justice coordination for these meetings.
  • Coordinate logistics for virtual meetings that ED leads on, as needed.
  • Manage calendar for all staff meetings, supervision and alignment team, including Language Justice coordination for these meetings as needed.
  • Meet regularly with the Logistics/RadOps team.

Participate in GGJ/GGJAF team (10%)

  • Active and timely response on all communications (email, phone, texts, messaging apps)
  • Attend virtual meetings with staff, members and allies.
  • Participate in and support preparation for in-person staff meetings and other events as necessary.
  • Compliance with GGJ remote working policies and procedures (calendaring, availability online, response time to communications, receipts, etc.)
  • Collaborate closely with the Logistics/RadOps Team.

Required Qualifications and Experience

  • At least 3 years high level administrative experience, ideally in a remote workplace environment.
  • Strong track record of honesty and integrity, ability to apply sound judgment and manage sensitive or confidential information.
  • Ability to stay on deadline, and keep others on deadlines and tasks. 
  • Creativity, persistence and trouble-shooting skills.
  • Familiarity and political alignment with some of the GGJ frameworks of Anti-Militarism, Global Well-being, Just Transition, Grassroots Feminism, Grassroots Internationalism.
  • Ability to forecast, plan and manage projects months in advance, and adapt plan implementation, from beginning of planning to closing out with program evaluation.
  • Excellent interpersonal and relationship building skills with the ability to engage with diverse audiences, understand others’ feelings, thoughts, and motivations and earn trust by consistently demonstrating integrity, authenticity, and professional competence.
  • Strong communication skills in English, including the ability to listen actively and speak clearly; to read and comprehend a variety of communications and resources; to write clearly; and to summarize and communicate information efficiently and accurately.
  • Ability to read, write and speak other languages besides English, especially Spanish.
  • Experience in multiracial, multigenerational, multilingual, multicultural, and multigender settings.
  • Knowledge of common computer applications: MS Office, Google Workspace, Adobe Suite, Asana, Slack, and Zoom video teleconferencing systems. 
  • Willingness to travel: average 5-10 days per quarter (every 3 months) in the U.S.
  • Ability to work flexible hours (evenings and weekends), including communicating with allies in other parts of the world in different time zones.

Preferred Experience

  • Experience as an Executive Assistant and/or logistics coordination
  • Ability to read, write and speak other languages besides English, preferably Spanish.
  • Familiarity with concept and practice of Language Justice and Disability Justice.
  • Familiarity with, and experience coordinating between sibling 501(c)(3) and 501(c)(4) organizations.
  • Experience working with a grassroots base-building organization and/or in a national alliance, coalition or network of multiracial grassroots base-building social justice groups.
