Position Summary: This position will maintain key aspects of the organization’s infrastructure through financial processing and tracking, data management; and assist the Co-Deputy Director (Co-DD) of Infrastructure.  The Infrastructure Organizer will report to the Finance and Human Resources Manager and is a cost-shared position with GGJ Action Fund (GGJAF), GGJ’s sibling 501c(4) organization. 

Location: Washington, D.C. Metro Area. While GGJ/GGJAF staff are fully remote, this position requires candidates to be located in the DC Metro Area, with travel required on average 5-10 days per quarter in the U.S. Additional travel may be offered to attend events, meetings, or for optional leadership development opportunities.

Compensation: $61,700-$77,100, commensurate with experience, skill and need. Salaries are determined using a values-based salary calculator that factors an employee's need, experience and responsibilities including traditionally invisibilized labor. This is a full-time exempt position with evaluation after a 3 month introductory period.

Job Responsibilities

Organizational Infrastructure Support (50%)

  • Financial & Administrative Processing and Tracking
    • Mail processing: check Post Office box on weekly basis, sort, scan and digitally file compliance related mail; maintain paper records as needed. 
    • Income: Make weekly bank deposits via remote deposit, track income in database and online files.
    • Expenses: Compile bi-weekly payment request list; Process approved payments; Label and check receipts for accuracy; Compile lists of missing receipts and collect from staff on monthly basis; Manage and track staff reimbursements.
  • Contact Data Management Support
    • Support Operations & Culture Director with maintenance of contact database
    • Support staff in contact data management as needed 
    • Additional infrastructure team support, as needed

Executive Assistant to Co-Deputy Director of Infrastructure (40%)

  • Manage email (sorting, flagging, prioritizing, responding); Respond to emails as directed.  Communicate clearly and accurately on behalf of Co-DD.
  • Manage Scheduling: Online calendar management of daily, weekly, monthly schedule, coordinate logistics for virtual meetings as needed.
  • Support Administrative Management of Co-DD, i.e. file receipts, process reimbursements, support with finance document signature and filing documents.
  • Book Travel Logistics for Co-DD (transportation, lodging, etc.)
  • Support communication between Co-DD and staff

Participate in GGJ team (10%)

  • Active and timely response on all communications (email, phone, texts, messaging apps)
  • Attend virtual meetings with staff, members and allies.
  • Participate in and support preparation for quarterly in-person staff meetings and other events as necessary.
  • Compliance with GGJ remote working policies and procedures (calendaring, availability online, response time to communications, receipts, etc.)
  • Collaborate closely with the Assistants Team.

Required Qualifications and Experience

  • At least 3 years high level administrative experience, ideally in a remote workplace environment.
  • Experience with CRM systems and database management (ideally PowerBase or CiviCRM).
  • Strong track record of honesty and integrity, ability to apply sound judgment and manage sensitive or confidential information.
  • Ability to stay on deadline, and keep others on deadlines and tasks. 
  • Creativity, persistence and trouble-shooting skills.
  • Familiarity and political alignment with some of the GGJ frameworks of Anti-Militarism, Global Well-being, Just Transition, Grassroots Feminism, Grassroots Internationalism.
  • Excellent interpersonal and relationship building skills with the ability to engage with diverse audiences, understand others’ feelings, thoughts, and motivations and earn trust by consistently demonstrating integrity, authenticity, and professional competence.
  • Strong communication skills in English, including the ability to listen actively and speak clearly; to read and comprehend a variety of communications and resources; to write clearly; and to summarize and communicate information efficiently and accurately.
  • Experience in multiracial, multigenerational, multilingual, multicultural and multigender settings.
  • Knowledge of common computer applications: MS Office, Google Workspace, Adobe Suite, Asana, Slack, and Zoom video teleconferencing systems. 
  • Willingness to travel: average 5-10 days per quarter (every 3 months) in the U.S.
  • Ability to work flexible hours (evenings and weekends), including communicating with allies in other parts of the world in different time zones.

Preferred Experience

  • Ability to read, write and speak other languages besides English, especially Spanish.
  • Familiarity with, and experience coordinating between sibling 501(c)(3) and 501(c)(4) organizations.
  • Experience working in a national alliance, coalition or network of multiracial grassroots base-building social justice groups.
